TERMS & CONDITIONS – 2025/2026
Terms & Conditions – Solveryn AS
All services provided by Solveryn AS (the Supplier) are offered to the Customer under the following Terms & Conditions:
BOOKING
Bookings can be made via email or telephone.
A booking is confirmed when Solveryn sends an order confirmation by email, which will include an order number.
PAYMENT
All rates are in US Dollars (USD) and include applicable Finnish taxes.
A non-refundable deposit of 10% of the total order value is required to confirm the booking.
If the deposit is not received by the specified date, Solveryn reserves the right to cancel the booking without further notice. A cancellation confirmation will be issued by email.
Payments can be made by invoice or secure e-payment link sent via email or SMS.
CANCELLATION POLICY
All cancellations must be submitted in writing and are only valid upon receipt of a written cancellation confirmation from Solveryn.
Cancellation by Customer:
The 10% deposit is non-refundable under any circumstances.
30 days or more before arrival: 10% deposit retained.
15 to 29 days before arrival: 40% of the total value will be charged in addition to the 10% deposit.
Within 14 days of arrival: 90% of the total value will be charged in addition to the 10% deposit.
Cancellation by Supplier:
Solveryn reserves the right to cancel activities or services due to weather conditions or guest safety concerns.
When possible, an alternative activity or date will be offered.
If the cancelled activity is part of a package, only the cancelled portion may be refunded.
QUALITY AND SAFETY
The Customer must inform Solveryn of special needs, health conditions, or risks that may affect the quality or safety of the experience.
DELAY OR CHANGES TO ITINERARY
Solveryn is not responsible for accidents, delays, or missed services caused by the guest’s lateness, force majeure, or other external circumstances. Solveryn reserves the right to adjust or cancel programs due to extreme weather or force majeure, without obligation for refund.
FORCE MAJEURE
Solveryn is not liable for delays, cancellations, or damages resulting from unavoidable and extraordinary circumstances, including but not limited to:
Acts of war, terrorism, civil unrest
Major health risks (e.g., epidemics or pandemics)
Natural disasters (e.g., earthquakes, floods, snow shortages)
Government actions or restrictions
Technical or transport failures beyond Solveryn’s control
In such cases, and if cancellation occurs within 30 days prior to arrival, the following options are available:
Cancel the booking with an administrative fee equal to 20% of the booking value.
Rebook the entire reservation to a new date within 12 months of the original delivery date with no charge at time of cancellation.
Invoice for 100% of the original value, and issue a full-value credit valid for 18 months from the original date. A revised booking confirmation must be received to validate rebooking.
LEGAL DISPUTES
All legal disputes must be resolved under Finnish law, with the Lapland District Court as the agreed legal venue.
PARTICIPANTS' RESPONSIBILITIES – SAFETY INSTRUCTIONS
Participants must comply with all safety instructions and regulations provided by Solveryn or its partners. They must also confirm that they are in good physical health for participation in outdoor activities.
Snowmobile Operation:
Subject to Finnish road traffic laws.
Drivers must be over 18 and hold a valid driver’s license (car or snowmobile).
Zero alcohol tolerance applies.
Deductible in case of damage: USD 600.
ALCOHOL & SMOKING
Alcohol not purchased at Solveryn is strictly prohibited.
Smoking is only allowed in designated areas. Smoking indoors, including inside the Ice Hotel, is not permitted.
PETS & ANIMALS
Pets or animals are not allowed inside the service buildings, Arctic Wilderness Lodge, or Ice Hotel.
Applications of these terms apply from the moment a booking is confirmed. Solveryn reserves the right to update these terms without prior notice.
